Hargraves Institute makes every effort to comply with relevant laws and regulations including the Australian Spam Act 2003, Australian privacy laws and principles, and GDPR.
By downloading any of our tools, purchasing any of our products, or registering for any of our events, we may follow up via email to determine your satisfaction and gauge feedback. However, you will not receive subscriber emails unless you subscribe via a related form or selection box.Â
Our Privacy Policy
Any personal information you disclose will be used to identify you and confirm your subscription and participation in our activities. Any financial information disclosed by you or received by us will only be used to affect the transaction to which it relates. Any credit card payments are processed by you using PayPal or Stripe – we do not access this information.
Personal information will only be used to communicate with you about our events, activities and services. This information may be stored securely on our website (Siteground/WordPress), network (Microsoft/Sharepoint), and/or communications platform (Mailchimp).
Individuals who subscribe via our website, including via optional checkboxes, will receive relevant communications based on the information provided and publicly available.Â
In all instances, Hargraves will make every effort to ensure the security of your data. However, we do not accept liability for any breach related to security breaches or actions of any external providers.
We will not share or provide contact details to any third party without your permission. You may request a copy of your details or the removal of your details at any time by emailing us.
Our Covid-Safe Policy
To ensure we all remain Covid-safe at in-person activities, please follow our Covid-safe guidelines.
Do not attend if:
- You feel unwell with any Covid or flu-related symptoms.
- You have recently visited any area or venue which requires you to isolate or monitor for symptoms.
- You have returned from overseas within the last 7 days.
When arriving and leaving the venue, please follow any building instructions related to lift capacity and social distancing.
During the session:
- Please maintain social distancing as much as possible. If you cannot social distance, feel free to wear a mask.
- Anything you use should be taken with you or discarded safely – please don’t share any items.
- Remain seated unless asked to stand by the Facilitator.
After the event, if you are diagnosed with Covid, please provide the following details to relevant health authorities to assist with contact tracing: Leisl Kimber, mobile 0411 578 519.
Your facilitator(s) will take steps to ensure that:
- The room being used complies with space/social distancing requirements.
- The event format accommodates social distancing, and there are sufficient supplies for every attendee.
- Sanitiser is available.
- A list of all participants, including contact details, is available for relevant health authorities.
If you have any concerns during the activity, please tell the facilitator immediately.
Special Covid Cancellation Policy
If you have registered for an event or workshop and are unable to attend due to any of the reasons noted above, please let us know. We will happily let you transfer your registration to a colleague.
For paid events, a full refund will be given, provided we are notified via email to hi@hargraves.com.au before 8.00 am (Sydney, Australia) on the day of the event/workshop.
Our Email Policy
Email is our primary tool for communicating to our community, including our newsletter, invitations and special announcements. Our main membership contacts receive additional information from time to time to review and distribute as relevant.
Any individual may subscribe to receive information direct, including our newsletter, announcements, invitations. From time to time, we may email targeted news, articles or invitations to individuals we know and have specifically identified as relevant to the defined offering.
We take spam policy seriously and do not send spam emails, give out email addresses without permission, send emails to people we don’t know, source email details from other parties, or provide your contact details to any third party without permission. Members seeking to communicate directly should connect via our LinkedIn Member & Alumni Group.Â

Terms and Conditions of Event Registration
Every event attendee is required to comply with the Code of Conduct included in the Hargraves Charter.
Cancellation and Refund and Event Invoice Policy:
Cancellations of any registration must be advised in writing to Hargraves Institute, hi@hargraves.com.au, 14 days prior to the event. A refund of registration fees paid or invoiced, less an administrative charge of 10%, will be processed following receipt of same. Cancellations after this date will not be refunded however may be transferred within the membership.
Any complimentary ticket offered to the Main Contact may be used by that individual or shared within the organisation. Complimentary tickets may only be shared outside the organisation with Hargraves approval.
Event numbers may be limited by venue capacity. Further, we reserve the right to review the viability of events if insufficient registrations are received.
Notwithstanding the above, every registration is subject to Hargraves approval to allow us to manage participation from competing organisations and consultants and manage room capacity.
Tax Invoices and Receipts for online registrations may be accessed via your registration email links. Any enquiries related to event invoicing should be directed to Accounts at 0411 578 519 or accounts@hargraves.com.au.
All events should be paid for at the time of registering. EFT details (with 7-day payment terms) are provided during the process for those unable to pay by credit card.Â

Cancellation, Event or Registration Changes by us:
Hargraves Institute:
- may be required to cancel an event. If so, we will provide as much notice as possible to all confirmed delegates, and any monies paid to us will be refunded in full. Hargraves Institute accepts no liability for the loss of any monies by delegates relating to cancelled events.
- may be required to revise an event agenda following cancellation by an advertised speaker, and will make every endeavour to secure a speaker of equal calibre.
- reserves the right to change an event’s venue (within the same capital city) to cater to registrant numbers more accurately.
- gives priority to VIP Members including paid-up corporate members, then Alumni, then DIY members. We reserve the right to close registrations should the event reach capacity.
- reserves the right to deny registration/s to avoid any competitive sensitivities.
Liability Disclaimer:
In the event of unforeseen circumstances, Hargraves Institute accepts no responsibility for loss of monies incurred by delegates, nor do we accept any liability for injuries/losses of whatever nature incurred by participants and/or accompanying person, nor for loss or damage to their luggage, computers and/or personal belongings. Delegates should make their own arrangements with respect to personal insurance.
Disclaimer:
The information provided for any event is correct at the time of publishing. Hargraves Institute reserves the right to alter or delete items from the program as circumstances dictate and take no responsibility for any errors, omissions and changes.
Publicity:
Some events are filmed or have a photographer taking photos. Videos and photos produced will be used for marketing and potentially made public, and event attendees may be identifiable in these productions. If you do not wish to be included in any photos or videos, you must notify us in writing 7 days prior to the event.
In addition, we may from time to time record online events and share with non-competing organisations/individuals who are unable to attend, following the standards set out in the Hargraves Charter. Participants will be notified that the session is being recorded.
These Terms and Conditions apply to the sale of goods (including services) online. Any order placed with Hargraves Institute Pty Ltd ABN 23 120 509 659 (“we”, “our”, “us” or “Hargraves”) constitutes your (“you” or “your”) agreement to be bound by these terms. Any additional or different terms you stipulate, or state in any communication with us (including any order) will not bind us unless we agree in writing.
No sales representative or agent is authorised by us to give any guarantee, warranty or representation in addition to, or contrary to these conditions. In any event, receipt of goods or services by you (or another as you direct) constitutes your agreement to be bound by these terms.

1. Sale & Purchase
1.1. Your placement of an order with us (“Order”) constitutes an offer by you to purchase goods from us on these terms. The order is placed when it is submitted to us.
1.2. The order is accepted upon receipt of payment unless we advise otherwise.
1.3. Once we accept the order, a binding contract between you and us will arise on these terms (the Contract). The Contract may be amended only by written agreement between you and us.
1.4 If we are unable to accept your order for any reason deemed by us, we will notify you in writing and refund your payment within fourteen (14) days.
2. Price
2.1. The prices referenced on our website are current but are subject to change at any time without notice. Any prices noted in marketing materials or via any other source are also subject to change and should not be relied upon. Unless otherwise agreed in writing, the current contract price of the Goods will be as stated on our website at the time of ordering.
2.2. Any Discount Code provided must be quoted at the time of ordering and is subject to any related terms and conditions communicated. Members and alumni have access to discounts and should contact us for details prior to ordering. No refunds will be provided for failure to quote a discount code.
2.3 Bulk pricing may be available on some items. Please contact us to inquire.
2.4 Postage prices are as calculated or quoted. Delivery is by Australia Post standard service unless otherwise selected.
3. Goods & Services Tax
3.1 All prices include Australian Government’s 10% Goods and Services Tax, and a Tax Invoice is generated at the time of ordering for purchasers to download.
3.2 Purchasers outside Australia are responsible for any additional costs, taxes or obligations which may be applied by any other entity or authority.
4. Payment
Payment should be processed via relevant links at the time of placing the order. EFT options and a Tax Invoice are provided during the order process. Orders will not be processed until payment in full has been received.
5. Shipping
5.1 It is the purchaser’s responsibility to select the correct shipping option when ordering their products.
5.2. Where Australia-wide shipping is included, we will deliver the Goods to the address stated in the order using Australia Post services.
5.3 Purchasers requiring tracking details should note this in the Customer Notes field when ordering.
5.4 We will not be responsible for any part delivery or delay in delivery of the Goods. Neither will we be liable for any consequences (direct or indirect) arising from such delay or non-delivery.
5.5 We will be entitled to charge for and recover from you all costs or loss occasioned by:
a) failure by you to take delivery of the Goods (as the case may be) as and when agreed to;
b) delay or interruption in the installation of Goods caused or contributed to by any act or omission on your behalf; or
c) Australia Post or any commercial delivery company being unable to complete the delivery due to incorrect shipping details being entered when ordering.
Any such costs or loss may include (but not be limited to) the cost of storage, labour, transportation and administration costs at our prevailing commercial rates.
5.6 Goods will be shipped within 5 days of receipt of order and payment. Any cause for delay will be advised to you by email.
6. Return of Goods
6.1. The Goods come with guarantees under the Australian Consumer Law. Nothing in these Terms and Conditions excludes, restricts or modifies:
a) the application of any provision of the Australian Consumer Law to the sale of the Goods; or
b) the exercise by you of a right conferred by such a provision; or
c) any liability of a person for failure by Hargraves to comply with a guarantee that applies under the Australian Consumer Law to the sale of the Goods.
Subject to the above, all conditions and warranties, whether or not implied by law, are excluded from any contract for the sale of the Goods. Details of any manufacturer’s warranty are included with the Goods.
6.2. Except where the Australian Consumer Law permits you to reject the Goods, Hargraves will not accept the return of the Goods for refund or credit or any other purpose unless specifically agreed in writing. Return of the Goods will only be accepted for refund or credit within 14 days of delivery, unless due to our error. Return freight will be at our cost only when error on our part.
6.3. No returned goods will be accepted by our agents or us (even if we have already agreed to do so) if they have been opened from their original packaging, tampered with by you or any other person and are not as new. Where goods are returned to us as above, they shall be returned to you at your expense.
7. Title & Risk
7.1. Risk in the goods will pass to you at the time of delivery in accordance with Condition 5.
7.2 Items may not be on-sold to any third party without prior written permission from Hargraves.
8. Governing Law
The purchase will be governed by the law of the State of New South Wales and the Commonwealth of Australia.
9. Notices
All notices in relation to your purchase must be in writing. Notices can be given in person, by post or by email, to an address or number detailed in the order.
10. Variation
Hargraves reserves the right to change these Terms and Conditions at any time.
